Service terms: what we promise and what we do not.

The plain-language version of how Cooli works with the businesses it serves. Where a signed agreement exists, the signed agreement governs. Prices and the setup checklist live on the pricing page.

1. Who this is for

These terms describe the two things Cooli sells to independent businesses: the after-hours text receptionist, and custom projects built on the software a business already runs. They are written for the owner who buys them, not for a lawyer. If anything here and a signed agreement disagree, the signed agreement wins. If anything here and the pricing page disagree on a number, the pricing page wins and we will fix this page.

2. The receptionist subscription

One location, one subscription. The subscription covers after-hours text back on the number you already use, answers drawn from the facts you approved, requests collected in a readable conversation, your booking link shared or a request written up for you to confirm, an alert when a conversation needs a person, the ability to take over any thread and type as yourself, changes to your hours, prices and answers whenever you send them, and STOP and HELP handling on every conversation.

  • It answers only from facts you approved. Anything outside that list goes to a person instead of a guess.
  • It identifies itself as an automated assistant. It never pretends to be your staff.
  • It must not invent a price, promise a refund, confirm a booking you have not accepted, or give medical, clinical or legal advice.
  • Two shops on two numbers are two subscriptions. The cap is locations, never messages, minutes or customers.

3. Billing, cancellation and refunds

  • Setup for the receptionist is $199 to $999, quoted on the call before any work starts. Some projects cost more depending on scope, and that is said before you agree. The setup fee is due when you say go.
  • Nothing is charged monthly until the receptionist has been answering on your real line for fourteen days. The first $99 charge is on day fifteen, then monthly.
  • Cancel by email any month. It stops at the end of the month you have paid for. There is no annual plan and no contract to sign out of.
  • If Cooli is billing you and it is not doing the job, email us inside the first thirty days of billing and we refund that month.
  • The setup fee pays for work that is already done, so it is not refunded once the install is finished. If we look at your phone setup and cannot make it work, you pay nothing.
  • Carrier forwarding or texting charges, if any, are your carrier's and are explained separately before installation.
  • A refund does not cover messages your carrier charged you for, or a booking you took and then lost. Cooli writes the conversation down. It does not stand behind the appointment.
  • Existing custom agreements are not silently changed by a change to this page.

4. Custom projects

Custom work follows three steps, and the price is in writing before the second one.

  • Stack check, free. A short call about what you run and who holds the logins, then a one-page note on what connects, what only has exports or a booking link, and what we would build first. No fee and no obligation.
  • Build, fixed price. A one-page scope you sign off before any build fee: what it touches, what it does, and how we will both know it works. A change of scope is a new quote agreed before the work, never a surprise on an invoice.
  • Keep it running, monthly. From $99 a month for fixes, small changes, monitoring and a person to call. Month to month, cancel by email, same as the receptionist.

You own the result. Your own accounts stay yours. Anything we create in your name is handed to you with its credentials. When we part ways you get a handover note that says where everything lives, how to turn each piece off, and the date our access ends.

5. Your data and your customers' data

  • Conversations are stored for your business so you can read them, with a 90-day default retention that we can shorten on request. You can read and export them from your portal.
  • Cooli does not sell data about you or your customers, and does not use your customers' messages to market to them.
  • Texting your customers needs their consent. A missed call by itself is not permission. The greeting asks the caller to opt in, the sender is registered, and STOP and HELP work on every conversation. The details are in the text message terms.

6. Our limits

  • It can make mistakes. We limit its answers to approved facts, route uncertain questions to you, and fix problems you send us, and billing has not started while the first fourteen days of that happen.
  • Your business, not Cooli, stands behind a price, an appointment or a promise made to a customer. Cooli records the conversation so you can see what was said.
  • No medical, clinical or legal advice, by design. Those questions go to a person every time.
  • Some phone lines will not carry business texting from the number itself. We find that out during the forwarding test, in the first ten minutes, and set up a separate texting number with clean forwarding so it works anyway.
  • Not every calendar or tool connects today. What does is listed on the custom work page. The rest is built as part of a project or handled with your booking link and a written request.

7. Changes to these terms

We post the date at the top of this page when it changes. Before a change that affects billing or cancellation, active clients get an email first, and the change does not apply to a month you have already paid for.
