The setup checklist

  • Forwarding test. We call your line together and confirm where an unanswered call goes.
  • Text sender configuration. Registering the sender your customers will see, with STOP and HELP wired up.
  • Approved facts. You read and approve every fact Cooli is allowed to state, before it answers anyone.
  • Owner alerts. Where the alert goes, and what counts as worth waking you for.
  • Takeover test. You take over a live thread while we watch, so you have done it once before you need it.
  • Booking. A supported booking connection, or a clean handoff to your booking link. Which one it is, we tell you on the call.

When you actually pay

Nothing is charged monthly until it has been answering on your real line for two weeks.

  1. The call, then the quote

    Fifteen minutes on your phone setup and your questions. You get a setup price, $199 to $999 for the receptionist, more for some projects depending on scope,, and a plain description of what we will install. Nothing is owed for the call.

  2. Setup fee, then install

    The setup fee is due when you say go. We install it, usually within a week, and we run the checklist above together.

  3. Fourteen days live, no subscription

    It answers your after-hours texts for two weeks while you read the conversations. This is the week where things get tuned: an answer is wrong, a price changed, a question you did not expect. Send them to us and we fix them.

  4. $99 a month, month to month

    Billing starts on day fifteen. Cancel by email any month, and it stops at the end of that month. There is no annual plan at launch and no contract to sign out of.

Refunds

If Cooli is billing you and it is not doing the job, email us inside the first 30 days of billing and we refund that month. No form, no exit interview.

The setup fee pays for work that is already done, so it is not refunded once the install is finished. If we look at your phone setup and cannot make it work, you pay nothing and we will tell you so on the call rather than after it.

Cancel any time after that and it stops at the end of the month you have paid for. Your number stays yours. Forwarding goes back the way it was, and we will walk you through undoing it if you would rather not call your carrier alone.

What a refund does not cover: messages your carrier charged you for, or a booking you took and then lost. Cooli writes the conversation down. It does not stand behind the appointment.

What connects, what we build, and where we say no.

Worth knowing before you pay rather than after. Most of this is a yes; the rest we tell you straight on the call.

  • Calendars and CRMs. Many booking systems and CRMs connect directly, and a booking lands in your calendar. For the ones that do not, we build the connection as a custom project, or Cooli shares your booking link and writes up the request so you can enter it. We tell you which one you have before you pay, not after.
  • Text first, voice if you want it. The receptionist answers by text after a missed call. If you would rather have the phone picked up and answered by voice, we set that up too, on the same facts. We tell you which fits your customers on the call.
  • One location per subscription. Two shops on two numbers is two subscriptions. The cap is locations, never messages.
  • Lines that will not carry texting. A few carrier setups and landlines will not send business texts from the number itself. We find that out during the forwarding test, in the first ten minutes, and set up a separate texting number with clean forwarding so it works anyway.
  • It answers from approved facts only. Medical, clinical, and legal advice is out by design. Anything outside the approved list is handed to a person instead of guessed at. That is what keeps it safe to run on your name.
  • Customer texting needs consent. A missed call by itself is not blanket permission to start texting someone. We handle all of it: the greeting that asks the caller to opt in, the sender registration, and the STOP and HELP handling that makes the program legitimate.

Questions people ask before paying

Do I have to change my phone number?

No. Cooli sits behind the number on your door and your listings. Setup changes where an unanswered call goes, not what people dial.

Is it $99 for every location?

Yes, per location. Two shops on two lines are two subscriptions at $99 each. We would rather cap locations than count your messages.

What if my customers text more than expected?

Nothing changes. The price is not metered by minutes, texts, or customers, so a busy month costs the same as a quiet one.

Can I answer a customer myself?

Any time. You open the thread and type, and the automated replies stop for that conversation. The customer sees your name on the message. We test this during setup so your first takeover is not a live one.

Who writes the answers?

You approve them. We collect your hours, prices, services, and the handful of things you always get asked, and you read the list before it goes live. Cooli answers from that list and hands anything else to you.

Does it work during business hours too?

It can, and some owners leave it on while they are elbow deep in a machine. The common setup is after hours only, since that is where the unanswered calls are.

How long does setup take?

Usually a week from the call, depending on how fast the sender registration clears and how quickly you can look over the facts list. We do the work. What we need from you is the answers and about twenty minutes.

Is there an annual plan?

Not at launch. Paying for a year of something you have used for two weeks is a bad deal, so month to month is the only option right now.

What happens to the conversations?

They are stored for your business so you can read them, with a 90-day default retention that we can shorten. The details are on the privacy page.

Need more than the receptionist?

The receptionist has a fixed price. Custom AI projects are scoped on a call and quoted per project, and they usually cost more than a receptionist setup. Booking and intake flows, paperwork and quotes, customer follow-up, internal tools, integrations with the software you already run.
